How Does the FitDocs Team Ordering Process Work?
Whether you’re outfitting a GP practice, a full nursing department, or a private hospital, FitDocs makes team ordering straightforward.
Our Team Ordering Process:
Step 1 — Get in Touch
Fill in our Get a Quote form at fit-docs.com/get-a-quote or email sales@fit-docs.com with:
- Your organisation name
- Estimated team size
- Roles / departments involved
- Any specific colour or embroidery requirements
- Preferred timeline
Step 2 — Consultation
We’ll contact you within 24 hours to discuss your requirements in detail. We’ll help you choose the right styles, fabrics, and colours — including compliance with NHS Trust colour-coding guidelines if applicable.
Step 3 — Sizing
We provide a simple sizing guide for your team members to complete. We handle mixed sizes across a single order — no complications on your end.
Step 4 — Proof Approval
For embroidered orders, we’ll send you a digital proof of your logo/text embroidery for approval before production begins.
Step 5 — Production & Delivery
- Standard team orders: 7–10 business days
- Embroidered team orders: 10–15 business days
- We deliver in one consolidated shipment or can arrange staggered deliveries by department.
Volume Discounts:
- 10–24 items: 5% discount
- 25–49 items: 10% discount
- 50–99 items: 15% discount
- 100+ items: Contact us for bespoke pricing

Can I Cancel a Team Order?
We understand that requirements can change, especially in large organisations.
Standard team orders (no embroidery):
Team orders can be cancelled or modified at no charge before dispatch. Contact us immediately at sales@fit-docs.com with your order number.
Embroidered team orders:
Once logo digitisation or embroidery production has begun, we may be unable to cancel or modify the order without a cancellation charge. This is because:
- Fabric is cut and prepared for production
- Embroidery setup has been completed
Before placing a large embroidered team order, we strongly recommend:
- Confirming sizes with all team members in advance
- Getting sign-off on the embroidery proof carefully
- Allowing adequate time so there’s no rush pressure on the order
