  • What is FitDocs’ Returns Policy? (Most Read)

    We want every FitDocs order to be exactly right for you. If something isn’t perfect, we’ve made returning or exchanging as simple as possible.

    Return Window

    You have 30 days from the date your order is delivered to request a return or exchange.

    To be eligible, items must be:

    • Unworn and unwashed
    • In original condition with all tags still attached
    • Free from odours, stains, makeup, or signs of wear
    • Returned in their original packaging where possible

    Items not eligible for return:

    • Embroidered or personalised items (unless faulty — see below)
    • Items marked as Final Sale or Non-Returnable
    • Items returned beyond the 30-day window
    • Items without original tags or showing evidence of wear

    Got a faulty item? If your scrubs arrive with a manufacturing defect, you are covered regardless of whether it’s been worn. Contact us within 7 days of delivery with photos and your order number — we’ll sort it immediately.

    💡 Tip: We recommend trying your scrubs on at home before your first wash to make sure the fit is right. Keep the tags on until you're certain — it makes the return process much faster.
  • How Do I Start a Return or Exchange?

    Starting a return takes under 2 minutes. Here’s exactly what to do:

    Step 1 — Contact Us

    Email sales@fit-docs.com with:

    • Your order number (found in your confirmation email, e.g. #FD-12345)
    • Your name and delivery address
    • Which items you’re returning and why
    • Whether you’d like a refund or an exchange

    Step 2 — Receive Your Return Label

    We’ll reply within 24 hours (Mon–Fri, 9am–5pm GMT) with:

    • Your free prepaid Royal Mail return label (UK customers)
    • Instructions for printing and attaching it
    • Your return reference number

    Step 3 — Package Your Items

    • Place items carefully in a secure poly bag or box
    • Ensure all original tags are still attached
    • Include a note with your name and order number inside
    • Stick the prepaid label clearly on the outside

    Step 4 — Drop Off

    Take your parcel to any Royal Mail Post Office or Parcel Postbox.

    👉 Keep your proof of postage receipt until your refund or exchange is confirmed.

    Step 5 — We Handle the Rest

    Once your return arrives at our warehouse:

    • We inspect and process it within 1–2 business days
    • You receive an email confirmation
    • Your refund is issued within 5–7 business days

  • Is Return Shipping Free?

    UK Customers — Yes, returns are free.

    We provide a prepaid Royal Mail return label so you pay absolutely nothing to send items back. This is included with every return request, no questions asked.

    International Customers

    A return shipping fee may apply depending on your country. This will be clearly confirmed when you contact us to request your return. Please note:

    • Original shipping fees are non-refundable on standard returns
    • If we sent you a faulty or incorrect item, we’ll refund your original shipping too
    • International return processing can take slightly longer — allow up to 21 business days

    Important for all customers:

    Please don’t send returns without first contacting us. Returns sent without a reference number may cause delays in processing your refund.

  • Can I Return Embroidered or Personalised Scrubs?

    Because embroidered and personalised items are made specifically for you, we’re unable to accept returns on these items in standard circumstances.

    However — if we made an error, we’ll fix it, no questions asked.

    If there is an issue with your embroidery — wrong spelling, wrong colour, wrong placement, or the embroidery wasn’t what you ordered — please contact us within 7 days of delivery at sales@fit-docs.com with:

    • Your order number
    • Clear photos showing the embroidery error
    • A description of what was requested vs what was received

    We’ll arrange a replacement or full refund at no cost to you.

    Thinking of ordering embroidery? Before placing your order, double-check all spelling and placement details on your order confirmation. If anything looks off, email us immediately at sales@fit-docs.com — it’s much easier to correct before production begins.

  • My Item Arrived Damaged or Faulty — What Do I Do?

    We’re truly sorry if your order didn’t arrive in perfect condition. This isn’t the FitDocs standard, and we’ll make it right.

    Please contact us within 7 days of delivery at sales@fit-docs.com and include:

    • Your order number
    • 2–3 clear photos of the defect or damage
    • A brief description of the issue

    What happens next:

    Depending on the nature of the fault, we’ll offer you one of the following — your choice:

    • A free replacement sent to you within 2–3 business days
    • A full refund to your original payment method
    • A store credit worth 110% of the item value (our way of saying sorry)

    In most cases, you will NOT need to return the faulty item. We’ll arrange resolution directly.

    Received the wrong item? Same process — email us with your order number and a photo of what arrived. We’ll dispatch the correct item and arrange collection of the wrong one, all at no cost to you.

Exchanges & Sizing

  • How Do I Exchange for a Different Size or Colour?

    Getting the right fit is everything — especially when you’re on your feet for 12-hour shifts. Exchanges are free, fast, and straightforward.

    Exchange Window: 30 days from delivery

    How to request an exchange:

    1. Email sales@fit-docs.com with your order number
    2. Tell us which item(s) you’d like to exchange
    3. Let us know your preferred new size, colour, or style
    4. We’ll send your free return label and reserve the new item

    Once we receive your return:

    • Your exchange order is dispatched within 1–2 business days
    • You’ll receive a new tracking number by email

    Important: Exchanges are subject to stock availability. If your preferred size or colour is out of stock, we’ll offer you a full refund, store credit, or the option to wait for a restock — your choice.

  • Can I Exchange Trousers for a Different Leg Length?

    Absolutely — leg length makes a huge difference in how your scrubs look and function, and we want yours to be exactly right.

    You can exchange trouser lengths as long as:

    • Items are unworn and unwashed with tags still attached
    • You’re requesting within 30 days of delivery

    Available lengths across our range:

    • Short (approx. 28″ inseam)
    • Regular (approx. 30″ inseam)
    • Tall (approx. 32″ inseam)

  • I Received Scrubs as a Gift — Can I Exchange Them?

    Of course — we’d love to help you find the right fit, even if someone else placed the order.

    To arrange a gift exchange:

    • Email sales@fit-docs.com with the name or email of the person who placed the order (if known)
    • Tell us what you received and what you’d like to exchange for
    • We’ll search the order on our end

    We handle everything discreetly — the gift giver won’t be notified unless you’d like them to be.

    If you don’t have any order details at all, that’s okay too — email us with a photo of the garment label showing the product name, and we’ll do our best to locate the order and help you out.

  • How Do I Find My Size?

    Finding the right size is the most important step to loving your FitDocs. Here’s how to get it right:

    Step 1 — Measure yourself

    Using a flexible tape measure:

    • Chest: Measure around the fullest part of your chest, keeping the tape parallel to the floor
    • Waist: Measure around your natural waist, about 1 inch above your belly button
    • Hips: Measure around the fullest part of your hips
    • Inseam: Measure from your crotch to the bottom of your ankle

    Step 2 — Compare to our Size Chart

    Our full size chart is available on every product page. FitDocs sizing runs:

    • XS (UK 6–8) · S (UK 8–10) · M (UK 10–12) · L (UK 12–14) · XL (UK 14–16) · 2XL (UK 16–18) · 3XL (UK 18–20)

    Step 3 — Consider fit preference

    • Clinical/fitted look → order your standard size

Shipping & Delivery

  • Can I Change My Delivery Address After Ordering?

    Yes — but please contact us as quickly as possible, as orders are often processed within hours of being placed.

    Email sales@fit-docs.com immediately with:

    • Your order number
    • Your original delivery address
    • The new delivery address you’d like

    We can change your address if:

    • Your order hasn’t yet been dispatched
    • The order doesn’t include embroidery that’s already in production

    If your order has already shipped, we’ll do our best to intercept it with Royal Mail, but this isn’t always possible. In those cases, the parcel may be returned to us and we’ll resend to the correct address — there may be a small redelivery fee.

    To avoid delays, please double-check your address carefully at checkout. If you’ve spotted an error immediately after ordering, call us directly on +44 740 462 7496 for the fastest response.

  • My Order Shows Delivered But Hasn’t Arrived

    We understand how frustrating this is — let’s sort it out together.

    First, try these steps:

    • Check with neighbours and building reception areas
    • Look around your property (behind bins, in a porch, a sheltered area)
    • Check for a Royal Mail ‘Something for You’ card — your parcel may be at a local depot
    • Allow 48 hours — carriers sometimes scan items as ‘delivered’ a day early

    Still no parcel after 48 hours?

    Contact us at sales@fit-docs.com with:

    • Your order number
    • Your full delivery address
    • Confirmation that you’ve checked the locations above

    We’ll raise an investigation with Royal Mail on your behalf. If your parcel is confirmed lost, we’ll either resend your order or issue a full refund — whichever you prefer.

  • How Do I Track My Order?

    Tracking your FitDocs order is simple:

    You’ll receive two emails from us:

    1. Order Confirmation — sent immediately after purchase with your order number
    2. Dispatch Confirmation — sent when your order leaves our warehouse, containing your Royal Mail tracking number and a direct tracking link

    To track your order:

  • How Do I Check My Order Status?

    Checking your order status is easy — here are all the ways to do it:

    Option 1 — Your Account Dashboard

    Log into your FitDocs account at fit-docs.com. Under ‘My Orders’ you’ll see:

    • Order status (Processing / Dispatched / Delivered)
    • Tracking information once dispatched
    • Full order history and invoices

    Option 2 — Your Confirmation Emails

    • Your order confirmation email (sent at purchase) contains your order number
    • Your dispatch email (sent when shipped) contains your Royal Mail tracking link

    Order status meanings:

    • Processing — We’ve received your order and it’s being prepared. Allow 1–2 business days.
    • In Production — Your embroidery order is being personalised. Allow 7–10 business days.
    • Dispatched — Your order is on its way. Track using the link in your dispatch email.
    • Delivered — Your order has been delivered. Enjoy your new FitDocs!

    If your status hasn’t updated in more than 3 business days, contact us at sales@fit-docs.com.

  • Can I Cancel or Modify My Order?

    We process orders quickly to get your scrubs to you as fast as possible — so please contact us immediately if you need to make changes.

    To cancel or modify your order, email sales@fit-docs.com or call +44 740 462 7496 straight away.

    We can typically help if:

    • Your order has not yet been dispatched
    • Embroidery has not yet entered production

    Changes we can make (before dispatch):

    • Cancel the entire order
    • Remove or swap an item
    • Change size or colour
    • Update your delivery address
    • Correct embroidery details

    If your order has already shipped, we’re unable to stop it in transit. In this case, simply follow our standard returns process once it arrives — we’ll make it straightforward.

    Please note: Personalised and embroidered items may not be cancellable once production has begun, but we’ll always do our best to accommodate your request.

  • I Haven’t Received My Order Confirmation Email

    If you haven’t received your confirmation email within 30 minutes of ordering, here’s what to check:

    Step 1 — Check your spam/junk folder

    Confirmation emails occasionally land in spam. Search for “FitDocs” or “fit-docs.com” in all folders.

    Step 2 — Check the email address you used

    • Did you pay via PayPal? The email goes to your PayPal email address
    • Did you check out as a guest? Check the email you entered at checkout
    • Did you create an account? Check your account email

    Step 3 — Verify the payment was taken

    Check your bank statement for a FitDocs payment. If no payment shows, your order may not have gone through.

  • Why Is There a Basting Stitch on My Pocket?

    Don’t worry — this is completely intentional and a sign of quality craftsmanship!

    A basting stitch is a temporary thread that keeps pocket openings neat and protected during garment production, shipping, and storage. It keeps the pocket’s shape intact until you’re ready to use it.

    To remove the basting stitch:

    *Method 1 (Outside of garment):*

    1. Locate the stitching at the pocket opening
    2. Gently pull the thread with your fingers, or carefully snip it with small scissors
    3. Remove all loose thread ends from both front and back

    *Method 2 (Inside of garment):*

    1. Turn the garment inside out
    2. Locate the thread corresponding to the pocket opening
    3. Pull to break the stitch and remove all threads

    Once removed, your pocket is ready for use. If you’re having any difficulty or are concerned it might be a defect, email us at sales@fit-docs.com with a photo and we’ll confirm.

  • Do FitDocs Scrubs Meet NHS Infection Control Standards?

    Yes. FitDocs scrubs are designed with UK clinical standards in mind.

    Infection Control Compliance:

    • Our fabrics withstand repeated washing at 60°C — the NHS recommended temperature for clinical uniform hygiene
    • Colours are fade-resistant at clinical wash temperatures
    • Fabric structure resists pilling and deterioration through frequent high-temperature cycles
    • We recommend our Polyester/Rayon/Spandex blend for environments with strict infection control protocols

  • How Do I Care for My FitDocs Scrubs?

    Proper care extends the life of your scrubs and keeps them looking professional shift after shift.

    Washing:

    • Machine wash at 60°C for infection control (our fabrics are designed for this)
    • Wash dark colours with like colours to prevent colour transfer
    • Use a mild, non-biological detergent
    • Do NOT use bleach — it weakens fibres and fades colour
    • Do NOT use fabric softener — it reduces the moisture-wicking performance of technical fabrics

    Drying:

    • Tumble dry on low heat
    • OR hang dry — this extends garment life significantly
    • Remove from the dryer promptly to minimise creasing

    Ironing:

    • Most FitDocs styles are wrinkle-resistant and won’t need ironing
    • If ironing is needed, use a low-to-medium setting
    • Iron on the reverse side to protect print or embroidery details

    Embroidered items:

    • Wash inside out to protect embroidery threads
    • Avoid ironing directly over embroidered areas

    Longevity tip: Rotating between 2–3 sets of scrubs (rather than washing the same set daily) significantly extends the life of each garment.

  • What File Format Do I Need for Logo Embroidery?

    For the best embroidery results, we need a clear, high-quality image of your logo.

    Preferred formats:

    • AI (Adobe Illustrator) — ideal for logos
    • SVG — great for scalable vector logos
    • PNG — high resolution (minimum 300dpi) with transparent background
    • JPG/JPEG — high resolution only (300dpi minimum)

    What makes a good logo file for embroidery:

    • Clean, clear edges with no blurring
    • High contrast between elements
    • Minimum detail — very fine lines and small text may not embroider cleanly
    • If your logo has very fine details, our design team may recommend simplification for best results

    Getting your digitisation done: Once you approve the digital sample, we’ll proceed with production. You’ll receive a digital proof for approval before any stitching begins.

Discounts & Rewards

  • Why Isn’t My Discount Code Working?

    If your discount code isn’t applying at checkout, one of these is usually the reason:

    Check these first:

    • Expired code — Some promotional codes have an end date. Check any email or promotion for the expiry date.
    • Minimum order value — Most codes require a minimum basket value of £60 (excluding delivery). Gift cards don’t count toward this total.
    • One code at a time — FitDocs discount codes cannot be combined with other promotions, including first-order discounts, refer-a-friend codes, or NHS/key worker discounts.
    • Eligible items only — Some codes apply only to specific collections or categories. Final Sale items are typically excluded.
    • Case sensitivity — Make sure you’re entering the code exactly as it appears — some codes are case-sensitive.
    • Already used — Each code is typically single-use per customer.

  • Do You Offer NHS or Key Worker Discounts?

    We’re enormously proud to support the NHS and UK key workers. FitDocs was designed by and for healthcare professionals — and we believe that should be reflected in our pricing.

    We offer an exclusive 10% discount for NHS staff and verified key workers.

    How to claim:

  • How Do FitDocs Gift Cards Work?

    FitDocs gift cards are the perfect gift for the healthcare professional in your life.

    Buying a gift card:

    • Available in denominations of £25, £50, £100, and £150
    • Delivered by email immediately after purchase
    • Fully customisable with a personal message
    • No expiry date — use them whenever you’re ready

    Using a gift card at checkout:

    1. Add items to your basket as normal
    2. At checkout, enter your gift card code in the ‘Gift Card / Discount Code’ field
    3. The value is deducted from your total automatically
    4. If your order total exceeds the gift card value, pay the remainder by card

    Multiple gift cards:

    You can use multiple gift cards on a single order.

    Refunds to gift cards:

    If you return an item purchased with a gift card, the refund goes back to the same gift card. If you’ve lost the code, email us at sales@fit-docs.com and we’ll resend it.

    Gift cards cannot be:

    • Exchanged for cash
    • Used to purchase other gift cards
    • Applied retroactively to completed orders

  • Do You Ship Internationally?

    Yes — FitDocs ships worldwide to over 40 countries.

    Key international information:

    Delivery timescales:

    • Europe: 5–10 business days
    • USA & Canada: 7–14 business days
    • Australia & New Zealand: 10–18 business days
    • Middle East & Asia: 7–14 business days
    • Rest of World: 10–21 business days

    Shipping costs:

    International shipping rates are calculated at checkout based on your location and order weight. We work with trusted carriers including DHL and Royal Mail International to ensure reliable delivery.

    Customs & Import Duties:

    Import duties, taxes, and customs fees may apply depending on your country. These are charged by your local customs authority and are the responsibility of the recipient. FitDocs is not responsible for any delays caused by customs clearance.

    💡 We recommend checking your country's import threshold before ordering. In the EU, for example, goods valued under €150 may enter duty-free.

  • How Do I Return an International Order?

    International returns are accepted within 30 days of delivery. The process is slightly different from UK returns:

    Step 1 — Contact Us

    Email sales@fit-docs.com with your order number and the items you’d like to return. We’ll confirm eligibility and provide return instructions specific to your country.

    Step 2 — Return Shipping

    • For international returns, you are responsible for return shipping costs unless the item is faulty or incorrect
    • We recommend using a tracked shipping service and keeping your proof of postage
    • For some countries, we can provide a DHL return label — ask us when you make contact

    Step 3 — DHL Pickup Option (Available in Selected Countries)

    If no drop-off point is nearby, you can schedule a DHL home collection:

    Our Team Ordering Process:

    Fill in our Get a Quote form at fit-docs.com/get-a-quote or email sales@fit-docs.com with:

    • Your organisation name
    • Estimated team size
    • Roles / departments involved
    • Any specific colour or embroidery requirements
    • Preferred timeline

    Step 2 — Consultation

    We’ll contact you within 24 hours to discuss your requirements in detail. We’ll help you choose the right styles, fabrics, and colours — including compliance with NHS Trust colour-coding guidelines if applicable.

    Step 3 — Sizing

    We provide a simple sizing guide for your team members to complete. We handle mixed sizes across a single order — no complications on your end.

    Step 4 — Proof Approval

    For embroidered orders, we’ll send you a digital proof of your logo/text embroidery for approval before production begins.

    Step 5 — Production & Delivery

    • Standard team orders: 7–10 business days
    • Embroidered team orders: 10–15 business days
    • We deliver in one consolidated shipment or can arrange staggered deliveries by department.

    Volume Discounts:

    • 10–24 items: 5% discount
    • 25–49 items: 10% discount
    • 50–99 items: 15% discount

  • Can I Cancel a Team Order?

    We understand that requirements can change, especially in large organisations.

    Standard team orders (no embroidery):

    Team orders can be cancelled or modified at no charge before dispatch. Contact us immediately at sales@fit-docs.com with your order number.

    Embroidered team orders:

    Once logo digitisation or embroidery production has begun, we may be unable to cancel or modify the order without a cancellation charge. This is because:

    • Fabric is cut and prepared for production
    • Embroidery setup has been completed

    Before placing a large embroidered team order, we strongly recommend:

    • Confirming sizes with all team members in advance
    • Getting sign-off on the embroidery proof carefully
    • Allowing adequate time so there’s no rush pressure on the order

    4. Click ‘Reset Password’
    5. Check your email for a secure reset link (check spam/junk if it doesn’t arrive within 5 minutes)
    6. Click the link and enter your new password
    7. Log in with your new password
